About the position

The Administrative Assistant at Yeo & Yeo plays a crucial role in providing high-level client service and organizational support to the team. This position involves managing calendars, coordinating meetings and events, processing client engagements, and maintaining client relations, all while ensuring a smooth operational flow within the firm.

Responsibilities

  • Manage calendars and schedule appointments for the team.
  • Provide outstanding client service through effective communication and timely follow-up.
  • Coordinate administrative and operational functions, including phone calls and mail processing.
  • Maintain client records and ensure confidentiality of client information.
  • Assist in the preparation and processing of client tax returns and financial statements.
  • Manage the client engagement letter process, including distribution and tracking of signatures.
  • Support CPA's with various administrative tasks related to client services.
  • Assist with monthly billing procedures and accounts receivable management.
  • Maintain office supplies and monitor inventory levels.
  • Provide backup support for administrative colleagues as needed.

Requirements

  • 2+ years' experience in public accounting or a professional services office setting.
  • Proficient in MS Office Suite (Excel, Word, Outlook, PowerPoint) and Adobe.
  • Ability to operate in a paperless environment, including scanning and routing documents.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and ability to work in a team environment.

Nice-to-haves

  • Notary Public certification preferred.
  • Experience with electronic filing of tax returns and related documents.
  • Interest in community involvement and participation in company events.
