About the position

St. Patrick Parish is seeking a Full-time Administrative Assistant to provide a welcoming presence at the front desk and assist with various administrative tasks. This role is crucial for maintaining effective communication within the parish and ensuring smooth operations at the church office.

Responsibilities

  • Answer, screen, and route incoming calls to the pastor/office promptly, accurately, and courteously.
  • Provide answers to caller questions and assistance when appropriate.
  • Maintain parish database including new registrations, ministry interest, recording offertory envelopes, payments for intentions, and change of addresses.
  • Compose, proof, correct and distribute letters, memos, forms, documents, emails, and faxes.
  • Sort and distribute incoming mail.
  • Maintain up-to-date filing systems, both hard copy and electronic.
  • Maintain sacramental records including reporting updates to other parishes.
  • Meet with families to discuss funeral arrangements, using planning sheet and existing procedures.
  • Other duties as assigned.

Requirements

  • High school diploma or equivalent
  • Minimum of 2-3 years of experience with similar responsibilities
  • Excellent organizational and communications skills
  • Proficient in Microsoft Office Suite and general office equipment
  • High degree of flexibility in order to achieve objectives and meet demands
  • Effective listener, responsive and supportive towards parishioners, volunteers, and staff
  • Exhibits good judgment, is highly motivated and self-directed.
