About the position

The Administrative Assistant at Edward Rose & Sons plays a crucial role in ensuring the efficient operation of the main office by performing various administrative functions. This position supports assigned departments, serves as a customer service resource for inquiries, and assists the leadership team with reporting, projects, and workflow management. Responsibilities

  • Provide general office support including answering phone lines, screening calls, and responding to emails.
  • Assist visitors and vendors by connecting them to appropriate team members or acting as a resource for inquiries.
  • Manage calendars, arrange meetings, and coordinate travel arrangements including flights, car rentals, and hotels.
  • Prepare agendas and schedules for meetings and distribute meeting notes or other materials.
  • Maintain organized electronic and paper filing systems and prepare internal and external correspondence.
  • Create documents in Microsoft Word and Yardi, including written correspondence, reports, and memos.
  • Create spreadsheets in Microsoft Excel to summarize data.
  • Lead or assist in the coordination of company events or activities.
  • Communicate professionally with management, residents, vendors, and outside contacts.
  • Exhibit a positive disposition while interacting with colleagues, residents, and vendors.

Requirements

  • High school diploma or equivalent is preferred.
  • Previous administrative experience is preferred.
  • Experience using standard office equipment is required.
  • Experience using Yardi Voyager or similar property management software is preferred.
  • Knowledge of Microsoft Office programs is required.
  • Exceptional organizational and time-management skills with close attention to detail are necessary.
  • Experience using a multi-phone system is preferred.
  • Strong written and verbal communication skills are required.
  • Must have a valid driver's license.

Nice-to-haves

  • Experience in property management is a plus.
  • Ability to work under stressful circumstances and meet last-minute deadlines.
