About the position

Crest Rock Partners is seeking an Administrative Assistant to join their team in Denver, Colorado. This role is essential for supporting business-related tasks, including managing investor and vendor relations, organizing travel and scheduling, and maintaining internal systems. The ideal candidate will be a proactive, organized self-starter who thrives in a dynamic environment and is capable of handling multiple responsibilities while maintaining discretion with sensitive information.

Responsibilities

  • Organizing expense and reimbursement reports with accounting staff
  • Updating and managing information in various systems, including Salesforce / CRMs
  • Editing or drafting documents, NDAs / confidentiality agreements, emails, job descriptions, etc.
  • Coordinating travel arrangements, including complex travel itineraries for leaders supported utilizing standard processes and resources
  • Reviewing, editing, and completing expense reports
  • Managing office and kitchen supplies
  • Preparing for and supporting meetings including scheduling and preparing appropriate meeting space, ordering catering, providing hospitality services to guests and assisting with materials, presentations and other resources as requested
  • Independently planning, organizing and overseeing large scale meetings and/or conferences ensuring that critical needs and all details are considered and addressed
  • Interacting as a liaison with investors and portfolio company management teams
  • Organizing and implementing systems
  • Completing applications, vendor forms and account set up
  • Filtering and responding to emails
  • Ability to prioritize work and organize own time

Requirements

  • 2-5 years of related office experience
  • Strong understanding of entire MS Office suite
  • Experience in Salesforce tools and ideally account structure
  • Professional level verbal and written communication skills
  • Ability to organize a daily workload by priorities
  • Keen eye for detail and ability to edit basic contract documents
  • Must be efficient and brief with emails and conversations
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • Experience exercising discretion and confidentiality with sensitive company information
  • A proactive approach to problem-solving with strong decision-making skills

Nice-to-haves

  • Financial services industry experience or knowledge
  • Licensed Notary or willingness to gain the credential
  • Experience with legal contract language
  • Experience in an early-stage environment
