About the position

The Administrative Assistant plays a crucial role in providing administrative support functions within the organization. This position requires a general knowledge of the organization and its functions, focusing on supporting various department programs and initiatives through research, coordination, and effective communication.

Responsibilities

  • Perform duties in support of activity department programs and initiatives, requiring research and coordination of various sources.
  • Review incoming correspondence, invoices, and reports, handling routine inquiries and referring non-routine matters to appropriate associates.
  • Prepare correspondence, reports, presentations, and background information using spreadsheet, graphics, and word processing software.
  • Perform office administrative functions including maintaining leave records, timecards, ordering supplies, making travel arrangements, and scheduling appointments.
  • Receive and transcribe information from source documents using appropriate data entry programs.
  • Provide direction to other operators and resolve omissions in data, alerting supervisors as necessary.
  • Maintain office records and files, ensuring proper organization and accessibility.
  • Order office supplies following established procedures and develop purchase orders (POs).
  • Track POs, receive invoices, and resolve disputes regarding accuracy with vendors.
  • Create draft presentation materials for review and finalization by appropriate offices.
  • Maintain an internal division database of operating data, updating records and preparing reports as needed.
  • Sort and distribute mail while maintaining control procedures.
  • Prepare various reports for supported offices and submit them to the appropriate office.
  • Perform other related duties as assigned.

Requirements

  • One year of responsible general office clerical experience demonstrating the ability to perform clerical duties satisfactorily.
  • One year of responsible experience in clerical, secretarial, or administrative support duties, or in a related area, demonstrating the ability to perform the work of the position.
  • Six months of successfully completed academic study above the high school level may substitute for six months of experience to satisfy general experience requirements.
