About the position

The Administrative Assistant will support the General Manager by managing operations, documentation, and company events. This role is crucial for ensuring smooth business operations, especially in the absence of the GM, and involves a variety of administrative tasks to facilitate daily functions.

Responsibilities

  • Perform data entry into the ERP system including opening customer and work orders.
  • Answer phones and assist customers with requested information.
  • Create Purchase Orders in the ERP system and distribute copies to suppliers.
  • Generate professional reports for customers as required following dispatches.
  • File information both electronically and physically.
  • Obtain quotes for equipment rentals and miscellaneous parts required for jobs.
  • Enter costs onto work orders in the ERP system, including labor costs, per diem costs, travel expenses, and miscellaneous parts.
  • Complete monthly expense reports for all service technicians.
  • Establish new suppliers via the New Vendor Approval process.
  • Set up new customers via the New Customer Request process.
  • Prepare customer orders for invoicing.

Requirements

  • High School Diploma or equivalent.
  • Customer Service and Administrative experience preferred.
  • Prior experience with Microsoft software.
  • Experience with ERP systems.
