About the position

Responsibilities

  • Assist the daycare director in daily administrative tasks, including scheduling meetings, managing calendars, and organizing files.
  • Prepare and maintain documents, reports, and communication materials.
  • Serve as the first point of contact for parents and visitors, addressing inquiries and providing information about daycare policies and procedures.
  • Facilitate communication between staff, parents, and external agencies.
  • Maintain accurate records of children's enrollment, attendance, and medical information.
  • Assist in the preparation of state licensing documentation and compliance records.
  • Assist with billing and invoicing, ensuring timely payments and record management.
  • Help manage budgets and track expenditures related to daycare operations.
  • Assist in planning and organizing daycare events, activities, and parent meetings.
  • Coordinate logistics for special events, including scheduling, materials preparation, and communications.
  • Maintain office supplies and equipment, ensuring a well-organized and functional workspace.
  • Implement efficient office systems and procedures to support the daycare's operations.

Requirements

  • High school diploma or equivalent; an associate degree in office administration or a related field is preferred.
  • Previous experience in an administrative role, preferably in an educational or childcare setting.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Ability to work independently and as part of a team.
  • Commitment to maintaining confidentiality and professionalism.
