About the position

The Administrative Assistant will play a crucial role in supporting the day-to-day operations of the office, ensuring that administrative tasks are managed efficiently to facilitate a smooth workflow. This position involves a variety of responsibilities, including scheduling, communication, and office management, aimed at enhancing the overall productivity of the team.

Responsibilities

  • Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Provide real-time scheduling support by booking appointments and preventing conflicts.
  • Screen phone calls and route callers to the appropriate party.
  • Greet and assist visitors.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Use computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Assist other staff members with their administrative duties.

Requirements

  • High school diploma or associate's degree.
  • Prior administrative experience.
  • Excellent computer skills, particularly with Microsoft Office applications.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with an ability to prioritize and multitask.
