About the position

The Administrative Assistant position at a local municipality in Kirby, Texas, is designed for an experienced individual who will ensure smooth and efficient administrative operations within the municipal offices. Responsibilities

  • Manage the day-to-day administrative tasks such as organizing files, preparing documents, scheduling appointments, and ensuring timely communication.
  • Provide support for the coordination of municipal projects, meetings, and scheduling.
  • Work collaboratively with other departments to ensure effective communication of municipal services to residents.
  • Handle various administrative duties related to municipal operations such as maintaining records, assisting in the preparation of reports, managing databases, and more.
  • Ensure compliance with all relevant local, state, and federal laws and regulations.
  • Assist with the preparation and control of budgets, and maintain relevant financial documentation.
  • Provide exceptional customer service to residents and visitors.
  • Other duties as assigned by management.

Requirements

  • High School Diploma or equivalent (bachelor's degree preferred).
  • Proven experience as an administrative assistant, preferably within a municipality or similar setting.
  • Knowledge of local government workings and procedures.
  • Proficiency in office software, including Microsoft Office Suite, especially Excel and Word, email, and electronic calendar systems.
  • Excellent written and verbal communication skills.
  • Strong organizational and multi-tasking abilities with attention to detail.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Flexibility to adapt to changing priorities and handle multiple projects.

Nice-to-haves

  • Minimum of 5 years of experience as an Administrative Assistant or similar role
  • Experience in handling both inbound and outbound calls
  • Strong customer service skills and experience
  • Excellent skills in data entry and computer data entry
  • Familiarity with email correspondence and scheduling appointments
  • Knowledge and experience in county government procedures and administrative office operations
  • Ability to manage multiple tasks and meet deadlines
  • Excellent communication and interpersonal skills
