About the position

The Administrative Associate III position in the Department of Emergency Medicine at Stanford University School of Medicine involves providing comprehensive administrative and operational support within a dynamic academic environment. This role is essential for facilitating communication among faculty and staff, coordinating logistics for academic projects, and ensuring timely completion of administrative tasks. The position requires a detail-oriented individual who can manage multiple responsibilities while supporting faculty in their academic affairs.

Responsibilities

  • Act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative problems.
  • Oversee and perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, and reports; perform editing and fact-checking.
  • Plan and schedule calendars, resolve conflicts, and arrange travel in compliance with policies.
  • Create complex reports and spreadsheets using specialized software and systems.
  • Process complex financial transactions, monitor budgets, and resolve discrepancies.
  • Coordinate routine maintenance services and plan office moves or minor renovations.
  • Lead staff or supervise day-to-day work of student and temporary workers.

Requirements

  • High school diploma and four years of administrative experience, or a combination of education and relevant experience.
  • Advanced computer skills and experience with office software and email applications.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to exercise sound judgment in decision-making.

Nice-to-haves

  • Prior work experience at Stanford University or in higher education.
  • Understanding of the organization of Stanford University Medical Center or similar academic medical center.
  • Ability to independently compose/draft correspondence on behalf of department leadership.
