About the position

Vital Services is seeking a talented and experienced Administrative Billing Assistant to join our growing Information Technology team in Allen, TX. This role is integral to the expansion of our administrative team, providing billing support, resolving inquiries, and assisting with various administrative tasks.

Responsibilities

  • Perform various clerical activities, including data entry, information verification, and billing handling.
  • Efficiently compile, review, and send client bills, including handling complex billing scenarios such as split-party billing and electronic bills.
  • Ensure billing accuracy, address any billing-related inquiries or issues, and aid in the investigation of billing discrepancies and errors.
  • Review monthly hours report and audit 4,000+ line items for accuracy and prepare for client billing.
  • Utilize software tools like Adobe, Excel, OneNote, and Word for administrative tasks and generate insightful reports.
  • Perform various administrative tasks and ad hoc requests as assigned.
  • Work with project teams to develop statements of work and track approved hours for ongoing projects.
  • Communicate clearly and professionally, both verbally and in writing, to various audiences.
  • Document internal procedures and manage knowledge base.
  • Assist Senior Administrative Assistant with other project coordination and administrative tasks as needed.
  • Maintain a clean and organized work environment.

Requirements

  • High school diploma or equivalent.
  • A minimum of 2 years of hands-on billing experience.
  • A minimum of 3 years of administrative and/or office experience.
  • Experience with accounts receivable and/or IT accounting preferred.
  • Knowledgeable and experienced with Microsoft Office, especially Advanced MS Excel.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent verbal and written communication and customer service orientation.
  • Ability to manage multiple tasks with a sense of urgency and thorough attention to detail.
  • Ability to manage multiple mailboxes and meet deadlines.

Nice-to-haves

  • Experience with IT accounting software.
  • Familiarity with project management tools.
