About the position

The Administrative Clerk II in the Central Records division of the Sheriff's Office is responsible for providing professional customer service and managing public inquiries, including responses to open records requests. This role involves handling sensitive information, processing various legal documents, and ensuring compliance with state statutes. The position requires availability outside of normal working hours for time-sensitive tasks.

Responsibilities

  • Answer telephone lines and effectively handle requests or route calls to appropriate staff.
  • Provide information to the public regarding the Sheriff's Office and other departments.
  • Assist the public, attorneys, and law enforcement agencies at the front counter and over the phone.
  • Perform hit confirmations and enter detainers in the TIME system and records management system (RMS).
  • Enter various types of warrants into RMS and the TIME system, ensuring timely cancellation of warrants as needed.
  • Process open records requests, ensuring proper redaction of sensitive information before release.
  • Communicate daily court lists with relevant offices and process individuals for extradition.
  • Run criminal history and Department of Transportation records for submission to the District Attorney's Office.
  • Process bond payments and verify bond information with law enforcement agencies.
  • Register professionals for jail visitations and verify their information.
  • Obtain purge amounts and court dates for individuals with child support commitments.
  • Create arrest entries in RMS for individuals with criminal warrants.
  • Assist deputies and jail staff with various office duties.
  • Send information on wanted individuals to law enforcement agencies via TTY.
  • Scan records into RMS and maintain a database of open records requests.
  • Route incoming faxes and process faxes received for Central Records.
  • Enter temporary restraining orders and civil process paperwork into the TIME system.
  • Track court dates and notify relevant parties to ensure proper booking of defendants.
  • Maintain cash drawer and visitor log, providing passes for secured areas.
  • Process sexual offender registration forms and maintain updated information in RMS.
  • Perform background checks for liquor and related licenses.
  • Back up Administrative Clerk III and other positions as necessary.

Requirements

  • High school diploma or equivalent competencies.
  • Two to three years of relevant prior experience.
  • Proven ability to perform basic mathematical operations and interpret data.
  • Experience with legal and medical terminology.
  • Knowledge of juvenile law, HIPAA, DPPA, and related case law.
  • Ability to utilize various technology and software for job duties.
  • Effective communication skills with diverse socioeconomic backgrounds.
