About the position

The Administrative Support role at JLL involves providing essential administrative functions, including service call reception, dispatch, and work order management. This position is crucial for ensuring customer satisfaction and effective communication during maintenance services, contributing to the overall efficiency of operations within the company.

Responsibilities

  • Provide reception and dispatch services for unplanned maintenance services
  • Take personal ownership of each customer's satisfaction
  • Provide initial welcome and troubleshooting for all incoming service calls
  • Maintain ongoing communication with each customer to assure total satisfaction
  • Resolve customer issues in a prompt and courteous manner
  • Update work order management system at each step of the service call process (incoming, dispatch, close out)
  • Distribute planned maintenance work orders as directed
  • Perform various administrative services, including office organization, filing, and personnel administration
  • Work with supply personnel to ensure inventories are maintained at the lowest practical levels

Requirements

  • Demonstrated skills with work management systems, including Maximo and DMLSS
  • Strong interpersonal and written/oral communication skills
  • Ability to relate well and cooperate with others to effectively coordinate activities and accomplish goals
  • High school diploma
  • 2 years' experience in a similar role
  • Experience in a healthcare or Government setting is a plus
