About the position

The Administrative Coordinator for the Alaska High Intensity Drug Trafficking Area (HIDTA) will provide essential administrative support to the management team and stakeholders, focusing on reducing illegal drug activities in the region. This role involves a variety of complex tasks requiring independent judgment and discretion, reporting directly to the Executive Director of Alaska HIDTA. The position is contingent on government grant funding and aims to support the mission of HIDTA through effective collaboration and operational support.

Responsibilities

  • Support the day-to-day activities of the Executive Director and assist other leadership team members.
  • Schedule calls and meetings with internal and external stakeholders.
  • Handle internal and external communications with executives, staff, and others.
  • Plan and support meetings and organization-wide trainings, including quarterly board meetings.
  • Serve as the liaison for the AK HIDTA Executive Board and its committees.
  • Process paperwork, maintain confidential records, and manage filing and retention of correspondence.
  • Arrange travel and prepare related documents.
  • Prepare, organize, and disseminate periodic memos and materials.
  • Order office supplies and schedule deliveries.
  • Assist with procurement and financial support, including compiling overtime and reimbursement documentation.

Requirements

  • High School graduation or equivalent.
  • Six months of entry-level administrative experience in areas such as Human Resources, Procurement, Accounting, Finance, or Office Support.
  • One year of clerical experience equivalent to the Office Assistant with the City of Juneau or equivalent with another employer may substitute for the required experience.
  • One year of post-secondary education from an accredited college or vocational training may substitute for the required experience.
