About the position

The Administrative Coordinator at UTHealth's Cizik School of Nursing plays a crucial role in supporting the Simulation and Clinical Performance Laboratory (SCPL) Team. This position is responsible for managing the simulation lab's purchasing needs, inventory, timesheets, and travel arrangements. The ideal candidate will have experience in an academic setting, particularly with accounts payable and procurement processes, and will be adept at handling multiple requests while meeting deadlines.

Responsibilities

  • Manage all purchase needs of the simulation lab.
  • Oversee inventory management for the simulation lab.
  • Handle timesheets and scheduling travel for faculty and staff.
  • Initiate travel requests and arrange flights.
  • Submit travel expenses for reimbursement to team members.
  • Coordinate day-to-day business and financial processes.
  • Monitor travel, purchasing, payroll, timekeeping, contracts, and grants.
  • Handle confidential information and sensitive issues.
  • Coordinate Human Resources activities including recruiting and selection.
  • Monitor open encumbrances and expenditures, providing budget status reports.
  • Acquire documents to monitor adherence to grant or program requirements.
  • Maintain departmental equipment and space inventories.
  • Train entry-level support staff and may lead support staff.
  • Serve as administrative liaison regarding business and financial issues.
  • Maintain and reconcile financial records and reports.

Requirements

  • Bachelor's degree in a business-related field required.
  • One year of related work experience required.
  • Prior experience in finance, accounting, business administration, or business management required.
  • Working knowledge of standard Office Software such as Word, Excel, PowerPoint, and Outlook is required.
  • Working knowledge of University financial systems is preferred.

Nice-to-haves

  • Experience with Coupa and Concur software.
  • Experience scheduling domestic and international travel.
