About the position

The Administrative Coordinator/Finance and Budget Support position at the University of North Texas involves preparing, monitoring, and maintaining control of revenues and expenditures within the department of Physics. This role is crucial for ensuring compliance with federal, state, and local regulations, as well as university policies. The coordinator will manage budgets, assist with grant management, and provide financial reports to support the department's operations.

Responsibilities

  • Manage the annual computer roll out plan.
  • Participate in annual activities such as budget submission and instructional fees according to state and UNT policy.
  • Prepare and process grant transmittal forms and review budgets for compliance with university guidelines.
  • Alert the Chair of any budget requests or commitments of departmental funds.
  • Manage all research budgets of departmental awards and contracts, ensuring expenditures fall within approved categories.
  • Reconcile in-house records to cognos budget summaries.
  • Provide specific instruction to Principal Investigators regarding budgeting and spending throughout the life of the grant.
  • Assist with the closure of grants.
  • Prepare monthly financial reports for review by Principal Investigators and the Department Chairman.
  • Manage departmental expenditure, revenue, and payment.
  • Manage hiring of hourly employees, RAs, postdocs, and other staff paid for by research funds.
  • Maintain checkbook register and reconcile to cognos for all budgets and income statement activity.
  • Perform Pcard reconciler/approver duties with deadlines set by UNTS.
  • Support and provide backup to all finance personnel (travel, purchasing).
  • Attend applicable university and Budget Office trainings and meetings.

Requirements

  • Bachelor's Degree in a relevant field.
  • Three years of highly responsible and varied office administration or business management experience.
  • Exceptional customer service skills.
  • Advanced written communication skills.
  • Advanced Microsoft Office skills.
  • Knowledge of accounting and budgeting procedures.
  • Ability to work under pressure and handle multiple tasks.
  • Ability to keep complex records and prepare reports in acceptable formats.
  • Ability to conceptualize, plan, and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
