About the position

The Administrative Coordinator for the Occupational Therapy Program at Fairleigh Dickinson University plays a vital role in supporting the Program Director, Academic Fieldwork Coordinator, Doctoral Capstone Coordinator, and faculty members within the Occupational Therapy Program. This position is designed to provide advanced and diversified administrative and secretarial support services to the School, ensuring that the program runs smoothly and efficiently. The coordinator will be responsible for communicating department policies and procedures, coordinating daily activities, and maintaining budget records for the department. In addition to these core responsibilities, the Administrative Coordinator will assist in research efforts that support statistical analyses, contribute to student and faculty recruitment initiatives, and maintain essential files related to students, courses, programs, and confidential personnel matters. The role also involves serving as a liaison with other departments at Fairleigh Dickinson University, supporting fieldwork and capstone programming, and overseeing student workers. The incumbent is expected to work both independently and collaboratively on day-to-day tasks, as well as on special short- and long-term projects assigned by the Department Chair, taking a leadership role in executing these projects effectively.

Responsibilities

  • Provide advanced administrative and secretarial support to the Program Director and faculty.
  • Communicate department policies and procedures effectively.
  • Coordinate daily activities of the Occupational Therapy Program.
  • Monitor and maintain department budget records.
  • Assist with research in support of statistical analyses.
  • Support student and faculty recruitment efforts.
  • Maintain student, course, program, and confidential personnel files.
  • Serve as a liaison with other FDU departments.
  • Support fieldwork and capstone programming.
  • Oversee student workers and their activities.

Requirements

  • High School Diploma or GED required; completion of commercial courses related to secretarial and administrative skills preferred.
  • Minimum of three years of experience in a complex academic or corporate administrative environment.
  • Experience with administrative record keeping and demonstrated accounting/bookkeeping skills.
  • Proficiency in computer systems for word processing, spreadsheet, and data management applications.
  • Excellent interpersonal, written, and oral communication skills.
  • Strong problem-solving and organizational skills.
  • Ability to work independently with minimal supervision.
  • Ability to manage sensitive issues with decorum and confidentiality.

Nice-to-haves

  • Knowledge of Datatel software is a plus.
  • College credits in relevant fields are preferred.
