About the position

The Administrative Coordinator III position within the Neurology Department at Washington University in St. Louis is a full-time role dedicated to providing comprehensive administrative support for clinical trials and the human research section. This position plays a crucial role in assisting the Director and Lead Coordinators in achieving the section's research objectives. The coordinator will be responsible for managing various aspects of clinical trials, including project management, budget tracking, and patient outreach, ensuring that all activities align with the department's mission and goals. In this role, the coordinator will handle a variety of tasks that include coordinating meetings and events, managing communications, and overseeing fiscal activities related to the program. The position requires a high level of organization and the ability to manage confidential information effectively. The coordinator will also be involved in drafting and finalizing various communications, including newsletters and marketing materials, and will utilize desktop publishing software to create professional documents. Additionally, the role involves tracking metrics to guide decision-making and support the research mission. The Administrative Coordinator III will also serve as a liaison between faculty and coordinators, assisting with faculty recruitment and maintaining faculty records. The position demands excellent communication skills, both written and verbal, as well as proficiency in various computer applications. The coordinator will be expected to work independently and as part of a team, demonstrating a strong commitment to the department's objectives and the overall mission of the university.

Responsibilities

  • Provides project management/coordination for clinical trials, including intake, agreements, budgets, trainings, site selection/initiation visits, and design of case report forms and binders.
  • Manages research-patient outreach, engagement, and satisfaction.
  • Supports section meetings with scheduling, minutes, and agendas.
  • Plans and coordinates meetings and events, including all details associated with the event; negotiates with vendors and resolves special situations that arise during events.
  • Manages fiscal activities related to the program, including drafting annual budgets, tracking expenditures, and overseeing accounts payable and purchasing duties.
  • Initiates, writes, creates, and edits/reviews various communications such as newsletters, websites, surveys, and marketing materials.
  • Documents created require little additional review and must be of high quality.
  • Devises, tracks, and reports metrics to guide decision-making and research mission.
  • Serves as liaison to and assists faculty and coordinators; coordinates faculty recruitment efforts and assists with faculty reviews.

Requirements

  • High school diploma or equivalent high school certification and five years of experience in an office or administrative support position, or a Bachelor's degree and two years of experience in an office or administrative support position.
  • Demonstrated proficiency with computer applications and programs including Word, Outlook, Excel, PowerPoint, and Access.
  • Excellent organizational and interpersonal communication skills to deal effectively with a broad and diverse range of people.
  • In-depth knowledge of office procedures.
