About the position

The Administrative Coordinator at the McWilliams School of Biomedical Informatics provides essential business and financial operations support to the department. This role involves coordinating daily business processes, managing financial records, and ensuring compliance with regulations and policies. The coordinator will also handle confidential information, assist with human resources activities, and monitor budget expenditures, making it a critical position for maintaining the operational efficiency of the department.

Responsibilities

  • Coordinates the day-to-day business and financial processes.
  • Trends past performance and forecasts future financials.
  • Monitors travel, purchasing, payroll, timekeeping, contracts, and grants.
  • Handles confidential information and sensitive issues.
  • Coordinates and schedules Human Resources activities including recruiting and selection for classified staff.
  • Monitors open encumbrances and expenditures, providing reports on budget status.
  • Acquires documents needed to monitor adherence to grant or program requirements.
  • Maintains departmental equipment and space inventories.
  • May train entry-level support staff and lead support staff.
  • Serves as administrative liaison regarding business and financial issues.
  • Maintains and reconciles financial records/reports and advises on financial practices.

Requirements

  • Bachelor's degree in a business-related field required.
  • One year of related work experience required.
  • Prior experience in finance, accounting, business administration, or business management required.
  • Working knowledge of standard Office Software such as Word, Excel, PowerPoint, and Outlook is required.
  • Working knowledge of University financial systems is preferred.
