About the position

The Administrative Coordinator for Operations and Services at the Stowers Institute for Medical Research plays a vital role in supporting the department by managing information and requests from various departments. This position involves assisting with member services, operations support, and administrative tasks, while ensuring high levels of customer service and effective communication. The coordinator will work closely with the Operations and Services Supervisor and other managers to facilitate projects, events, and manage complex schedules.

Responsibilities

  • Provide administrative support to Operations and Services department members.
  • Schedule meetings and keep calendars current.
  • Order office/department supplies.
  • Expense reporting/check requests.
  • Coordinate travel arrangements as needed.
  • Manage department databases in Microsoft Access.
  • Facilitate Operations department portion of the new member orientation and lead the campus tour.
  • Maintain department internal web pages and keep them updated with current information.
  • Set up Café Payroll deduction for members and run bi-weekly reports for Accounting Department.
  • Administer Catertrax Software and manage the backend of the system.
  • Coordinate usage of Stowers guest suites by external guests and maintain Suite Information Guides.
  • Assist the manager with miscellaneous tasks to support the Wellness Department, including events.
  • Serve as the back-up in Library Services coordinating administrative tasks.

Requirements

  • High school degree or equivalent required; Bachelor's degree preferred.
  • Experience with event coordination, customer service, and working in a fast-paced office setting.
  • Ability to work well in a team environment.
  • Time Management - Ability to organize and prioritize work to meet deadlines.
  • Flexibility to routinely adjust daily work effort.
  • Attention to detail.
  • Excellent written and verbal communication skills.
  • Strong aptitude in learning and utilizing various software, including Microsoft 365 applications.

Nice-to-haves

  • Experience in a medical research environment.
  • Familiarity with Microsoft Access and Catertrax Software.
