About the position

The Administrative Coordinator (Physics) position at William & Mary is a part-time, temporary role that supports the administrative and programmatic needs of the Physics Department. This role involves providing faculty support, managing recruitment and hiring processes, and ensuring compliance with policies. The coordinator will also handle administrative tasks such as ordering supplies, coordinating travel logistics, and maintaining the department's communications program.

Responsibilities

  • Support the administrative and programmatic needs of the Physics Department.
  • Facilitate recruitment and hiring processes for faculty positions.
  • Provide administrative support including ordering supplies and distributing mail.
  • Coordinate travel logistics and assist with preparation of vouchers/invoices.
  • Update website and electronic media content for the department.
  • Arrange and coordinate program meetings, colloquiums, and special events.
  • Serve as the first point of contact for office visitors, students, and faculty.
  • Assist with records management.

Requirements

  • High school diploma or equivalent combination of education, training, and experience.
  • Working knowledge of general office practices and procedures.
  • Demonstrated proficiency in Microsoft Office: Word, Excel, PowerPoint, and Outlook.
  • Ability to work independently and in a team environment.
  • Effective communication skills with a diverse population.

Nice-to-haves

  • Associates Degree or equivalent training and work experience.
  • Previous experience working in higher education.
