About the position

The Administrative Coordinator, Safety supports the Shift Supervisor in managing the daily administrative activities of the Security department at CoreCivic Safety facilities. This role involves compiling documentation related to facility incidents, ensuring accuracy, and preparing incident packets for submission to government partners and facility management. The position requires effective communication, data entry, and organizational skills to maintain safety and professionalism in operations.

Responsibilities

  • Support the Shift Supervisor in managing daily administrative activities of the Security department.
  • Compile supporting documentation related to facility incidents and review for accuracy.
  • Prepare and submit incident packets to government partners and facility management.
  • Enter real-time data related to daily resident/inmate/detainee movement into Offender Management System (OMS).
  • Independently perform administrative duties including reporting, data entry, filing, and correspondence.
  • Communicate effectively with staff and residents/inmates/detainees, responding to inquiries and requests.
  • Prepare correspondence, statistical reports, and other documents, editing for accuracy.
  • Review facility incident reports daily for accuracy and adherence to policies.
  • Generate reports of various operational data as needed.
  • Research and collect information to support facility operations.
  • Organize documents for Shift Supervisor review and prepare incident packets.
  • Route and track incident packets through the internal review process.
  • Update customer and internal systems to reflect resident/inmate/detainee movement and counts.
  • Initiate and conduct research to establish factual support for incident reports.
  • Maintain understanding of company and partner policies and applicable legal requirements.
  • Organize paperwork for inmate transfers and coordinate with departments to ensure accuracy.
  • Verify accuracy and security of paperwork related to inmate movement.

Requirements

  • High School diploma, GED certification, or equivalent is required.
  • Three years of experience in a full-time secretarial or administrative office work is required.
  • Proficiency in Microsoft Office applications is required.

Nice-to-haves

  • Organizational skills and experience with reporting and records management is preferred.
  • Additional qualifying education at an accredited college, business school, or technical institute in office administration or a related field may substitute for up to two years of required experience.
