About the position

PayPal is seeking a highly competent Executive Assistant to provide administrative and operational support for our Senior Leaders within the Checkout (XO) team. This role is crucial in ensuring that our leaders can focus on strategic priorities while the Executive Assistant manages the day-to-day operational tasks. The ideal candidate must thrive in a fast-paced, high-intensity environment and possess exceptional organizational skills to juggle diverse responsibilities effectively. The Executive Assistant will be responsible for complex calendar management using Microsoft Outlook, ensuring that all meetings are scheduled with a clear purpose and that time zone sensitivities are considered. This role requires a strategic approach to coordinating and scheduling meetings, reacting with appropriate urgency to requests that require quick turnaround, and aligning with Senior Leaders on weekly priorities. In addition to calendar management, the Executive Assistant will be tasked with understanding and executing business priorities and processes, organizing events, and managing team-building activities. The role also includes managing expenses and travel arrangements, both domestic and international, and processing system approvals in a timely manner. Building strong relationships with Executive Assistants, Business Operations, and key business partners across PayPal is essential for success in this position. The Executive Assistant will need to demonstrate a high level of confidentiality, integrity, and discretion while executing tasks with attention to detail and a collaborative spirit.

Responsibilities

  • Provide complex calendar management for Senior Leaders using Microsoft Outlook.
  • Coordinate and schedule meetings with a strategic approach, considering time zone sensitivities.
  • React with urgency to requests that require quick turnaround and take effective action.
  • Align with Senior Leaders on weekly priorities and business processes.
  • Organize and manage events, team on and off-sites, and team-building activities.
  • Manage expenses and travel arrangements, both domestic and international.
  • Process system approvals in a timely manner.
  • Foster strong relationships with Executive Assistants, Business Operations, and key business partners.

Requirements

  • 8+ years' experience supporting executives in a fast-paced, dynamic work environment.
  • Strong proficiency in Microsoft Outlook, PowerPoint, Word, and Excel.
  • Demonstrated ability to think strategically and prioritize leaders' calendars based on rapidly shifting priorities.
  • Strong calendar management skills, including coordination of complex executive meetings across multiple time zones.
  • Ability to take initiative and ownership over ambiguous tasks with little oversight.
  • Execute with a high level of confidentiality, integrity, and discretion, with high attention to detail.
  • Team player with strong collaboration skills.
  • Clear, succinct, and effective communication skills.
