VTG is seeking an Administrative Executive Assistant to provide comprehensive executive, analytical, management, and administrative support services to the Front Office, Program Managers, and their immediate staff in Washington, D.C. The role is pivotal in ensuring the smooth operation of daily activities, which includes managing records, schedules, and correspondence. The Administrative Executive Assistant will be responsible for both short and long-term planning to ensure continuity of operations, tracking deliverables, managing tasks, and assisting in program management. This position also involves implementing and maintaining approved standard operating procedures for the program offices. In this role, you will assist with the management and flow of information, which includes collecting, analyzing, and forwarding information. You will review various documents such as issue papers, white papers, technical reports, study reports, and requirements documentation, providing recommended steps forward. Additionally, you will assist with strategic planning initiatives and business practices, analyzing existing or planned strategic and business processes to ensure they align with program goals and objectives. You may also be required to provide input for presentations, white papers, or other documentation and participate in meetings to share findings. The Administrative Executive Assistant will maintain and monitor weekly, daily, and monthly activities and schedules to manage conflicts, ensuring overall smooth program execution. You will document occurrences and rationales of major meeting events, such as program reviews, conferences, technical reviews, and milestone reviews. This includes documenting in a Technical Report the frequency of recurring meetings, locations, attendees, and whether meetings involve travel. You will facilitate interactions between the program office and various agencies, organize and support program meetings, reviews, and conferences at contractor and government sites, and reserve conference rooms while coordinating equipment support for meetings. Your responsibilities will also include providing program administrative duties such as briefings, graphic work, visual presentations, word processing, and assisting government personnel with the preparation of official responses. You will prepare program documentation for dissemination, including letters, memos, issue papers, annual reports, articles for publication, and draft Naval Messages. Maintaining a reference library to track and administer action items, updates to directives, and the latest versions of Command instructions will also be part of your duties. You will assist in the development and maintenance of a control system for Program Office correspondence, ensuring all incoming and outgoing correspondence is tracked and easily retrievable. Furthermore, you will monitor front office program plans, providing independent validation and verification of internal program assessments and program progress indicators. You will also monitor program changes, provide possible alternatives to meet program goals, and conduct program impact assessments. Assisting program offices with organizing government travel and completing Defense Travel System (DTS) documentation, as well as coordinating special events and awards issued on behalf of the program office, will be essential. You will support information exchange meetings and workshops among S&T/Transition stakeholders, maintaining easily retrievable corporate information to support real-time Front Office and direct support to programs for programmatic planning and decision-making. Ensuring corporate information has a documented data structure design, change management procedures, version history, visualization, and change notifications will be critical to your success in this role.
