Responsibilities

  • Provides direct in-person, telephone, online, and email services to clients, especially for students and families requiring complex services.
  • Schedules, assists in hiring, onboarding, and training of hourly part-time staff, and manages office operations in their absence.
  • Delivers front-line counseling, customer service, and holistic problem resolution regarding bill payment, assignment information, contract obligations, and student accounts.
  • Troubleshoots student issues and resolves complex matters that may involve multiple departments.
  • Verifies accuracy and completeness of IU Housing administrative services, including application and contracting processes, enrollment confirmation, and timely bill payments.
  • Assists in the creation of training tools for various software and develops manuals or standard operating procedures.
  • Represents IU Housing Operations and Assignments at orientation and outreach events both on and off campus.
  • Interprets and utilizes online and historical information from IU Systems such as SIS, Salesforce Lightning, and housing management software.
  • Manages cases, templates, and contacts in Salesforce Lightning CRM tool.
  • Collaborates with external vendors and agencies to provide additional services to students living on campus.
  • Evaluates office production, revises procedures, or devises new forms to improve workflow efficiency.
  • Organizes office operations and procedures, including bookkeeping, preparation of payrolls, and flow of correspondence.
  • Oversees the opening, sorting, and routing of incoming mail, and prepares outgoing mail.
  • Monitors the use of office supplies and equipment, reordering items as required.
  • Ensures that office procedures and policies are maintained and communicated effectively.
  • Compiles, copies, sorts, and files records of office activities.

Requirements

  • High school diploma or equivalent (such as HSED or GED).
  • 2 years of relevant experience in an administrative role.
