About the position

The Oklahoma Medical Marijuana Authority (OMMA) is seeking a full-time Administrative Hearing Clerk/Assistant to support the administrative hearing process. This role involves preparing, filing, maintaining, and mailing documentation for all cases and administrative hearings, as well as providing organizational support to the Administrative Law Judge. The position requires critical thinking and problem-solving skills to address challenges effectively and contribute to the agency's mission of excellence.

Responsibilities

  • Tracks all cases filed and maintains hearing dockets.
  • Prepares digital and hard folders for administrative hearings.
  • Schedules administrative hearings and reserves courtroom space.
  • Accepts and file-stamps all pleadings filed by parties.
  • Processes all pleadings, documents, and records received in a case.
  • Prepares all documentation related to the administrative hearings.
  • Develops and maintains a system to organize all documents related to the hearings.
  • Communicates with judges, managers/supervisors, and legal staff regarding hearing issues and questions.
  • Tracks all activities related to hearings and monitors for returns of service before hearings.
  • Provides administrative support to the Operations Department, including maintaining the calendar of the Chief Operations Officer and scheduling meetings.

Requirements

  • Bachelor's degree or four years of technical clerical, administrative, secretarial, or general office work, or an equivalent combination of education and experience.
  • Knowledge of spelling, punctuation, and business English; business mathematics; modern office methods and procedures; and the maintenance of complex records.
  • Ability to establish and maintain effective working relationships with others and perform confidential work.

Nice-to-haves

  • One year of experience as a hearing or court clerk, paralegal, or legal assistant.
  • Experience with Microsoft Office products such as Word, Excel, and Outlook.
