About the position

The Administrative Manager at Levy Library, Mount Sinai, plays a crucial role in supporting the Scholarly and Research Technologies department by managing various administrative, project, and logistical tasks. This position involves overseeing day-to-day operations, coordinating complex project activities, and ensuring compliance with institutional policies. The Administrative Manager will also maintain the Dean & Vice President's calendar, handle scheduling requests, and manage departmental processes to enhance efficiency and effectiveness.

Responsibilities

  • Manage the day-to-day operational functions of the Scholarly and Research Technologies department.
  • Develop and monitor departmental process improvement plans.
  • Provide input on the development and implementation of departmental policies and procedures.
  • Maintain the Dean & Vice President's complex calendar and handle scheduling requests.
  • Coordinate and schedule appointments, meetings, and conferences for the team.
  • Oversee logistics for meetings, including site arrangements and catering.
  • Act as a liaison for scheduling conference rooms in other locations.
  • Check materials submitted for supervisor's attention for completeness and accuracy.
  • Maintain departmental employee files and attendance records.
  • Generate payroll submissions and resolve timecard issues with payroll.
  • Ensure adequate restocking of departmental supplies and inventory management.
  • Assist with onboarding and offboarding employees.
  • Evaluate and report on project progress in terms of quality and performance metrics.
  • Prepare statistical reports and keep informed of technical managerial advances in IT.

Requirements

  • Bachelor's degree in a business-related field.
  • Master's degree preferred.
  • 5+ years of related business experience.
  • Competency in applying general personnel practices, accounting, and budgeting principles.
  • Excellent written and oral communication skills.
  • Strong organizational skills and ability to prioritize multiple tasks.
  • Exceptional attention to detail and accuracy.
  • Proficiency in Microsoft Office.
