About the position

The Administrative Manager & Project Coordinator at Engineering Systems Inc. (ESi) plays a crucial role in providing advanced administrative and support services for principals, consultants, and management staff. This position is designed to ensure that all administrative personnel are well-trained and adhere to company policies and standards. The Administrative Manager (AM) serves as a primary liaison between consultants and their peers, clients, vendors, and other internal and external contacts, facilitating smooth communication and operational efficiency. The AM is responsible for building and managing an administrative and integration services (AIS) support team to provide optimal support to all technical staff, including those working remotely. In addition to administrative management, the AM is tasked with relieving consultants of administrative burdens and coordinating project activities at an advanced level. This includes conducting ongoing performance management of administrative staff, evaluating support needs for the regional office, and collaborating with various departments to ensure appropriate staffing and resource allocation. The AM also facilitates onboarding activities for new administrative staff and consultants, ensuring they are equipped with the necessary tools and knowledge to succeed in their roles. As a Project Coordinator, the role involves coordinating travel arrangements, maintaining documents and spreadsheets, submitting expense reports, managing calendars, and providing backup support to other administrative staff. The position requires a proactive approach to managing tasks and responsibilities, ensuring that all administrative functions are executed efficiently and effectively.

Responsibilities

  • Provide advanced administrative and support services for principals, consultants, and management staff.
  • Train administrative personnel according to company policies and standards.
  • Serve as the primary liaison between consultants and their peers, clients, vendors, and other contacts.
  • Build and manage an administrative and integration services (AIS) support team.
  • Relieve consultants of administrative tasks and coordinate project activities.
  • Conduct ongoing performance management of administrative staff.
  • Evaluate administrative support needs for the regional office and improve efficiency.
  • Collaborate with various departments to ensure appropriate staffing and resource allocation.
  • Facilitate onboarding activities for new administrative staff and consultants.
  • Coach and mentor local administrative staff to develop their skills.
  • Ensure local teams have updated forms and templates and are trained on Corporate SOPs.
  • Participate in strategic planning initiatives and coordinate office events.
  • Coordinate travel arrangements and manage calendars for consultants.
  • Prepare and send invoices to clients and manage collection efforts on outstanding invoices.

Requirements

  • Bachelor's degree preferred; paralegal certificate from an ABA approved program is a plus.
  • 5+ years of executive or senior-level project management or administrative support experience required.
  • Understanding of legal terminology and processes is a plus.
  • Experience in a litigation law firm or insurance background is a plus.
  • Medical background and/or experience in a medical setting is a plus.
  • Proficient with Microsoft Word and Adobe Acrobat; ability to learn quickly.
  • Experience with Microsoft Teams, SharePoint, Outlook, SAP Concur, and 3E firm management software is a plus.
  • Registered Notary is a plus.
