About the position

The Administrative Manager at Ottobock is responsible for overseeing the daily operations of the administrative staff at the Flint, MI patient care facility. This role involves strategic planning, coordination of facility operations, and ensuring compliance with healthcare regulations. The manager will work closely with various departments to enhance patient care experiences and maintain efficient administrative processes.

Responsibilities

  • Exercise discretion in the daily coordination of administrative staff.
  • Provide input in business and strategic planning.
  • Coordinate facility operations, procurement, and inventory of IT and clinic equipment.
  • Partner with Human Resources for employee updates on performance, relations, recruiting, onboarding/offboarding, and training.
  • Manage active patient cases in the WIP, ensuring timely progress and resolution of complaints.
  • Procure medical documentation from healthcare providers through various communication methods.
  • Collaborate with Verification, Authorization, and Billing teams for insurance authorizations and documentation requirements.
  • Direct patient communications regarding scheduling and financial responsibilities.
  • Ensure accurate patient, billing, and insurance information is maintained in files and systems.
  • Assist with collection of copayments and other financial items as needed.
  • Participate in educational opportunities to update job knowledge.
  • Comply with Corporate Compliance and HIPAA requirements.
  • Adhere to safety regulations and governmental compliance.
  • Perform other duties and special projects as assigned.

Requirements

  • Ability to interact with clinical and non-clinical personnel, patients, and caregivers professionally.
  • Relevant experience with business functions such as HR and finance.
  • Knowledge of fiscal planning, budgeting, and reporting.
  • Understanding of relevant laws and regulations.
  • Ability to lead a team collaboratively.
  • Proficient in MS Office and databases.
  • Outstanding communication and interpersonal skills.
  • Strong critical thinking and problem-solving abilities.
  • Excellent organizational, analytical, and time management skills.
  • Associate's degree or equivalent combination of education and experience; Bachelor's degree preferred.
  • Minimum two years of office management experience in a healthcare setting.
  • Minimum three years of experience with EMR/electronic health/medical record systems.
  • Valid Driver's License with no restrictions and auto insurance.
