About the position

The Administrative Officer II / Executive Assistant position serves as the Administrative Office Manager for the Deputy Secretary of Prisons in Wake County, NC. This role is pivotal in managing the administrative functions of the Deputy Secretary's office, which includes significant interaction with high-level state and local government officials, including departmental managers, the Secretary of Adult Correction, and the Governor's office. The position requires the individual to act on behalf of the Deputy Secretary in all administrative and office management matters during their absence. This includes establishing administrative priorities, making decisions, solving problems, and having signature authority for designated correspondence. The role demands a high level of discretion, confidentiality, and good judgment, as the individual will often represent the Deputy Secretary of Prisons. The Administrative Officer must stay informed about departmental policies and procedures and provide advice to the Deputy Secretary accordingly. Many tasks require strict confidentiality, particularly those involving sensitive personnel issues, which must be processed directly and expediently. The position also involves supervising two subordinate staff members who provide additional administrative support to the Deputy Secretary's office. This is a full-time position, requiring 40 hours of work per week, with a Monday to Friday schedule, and comes with state benefits.

Responsibilities

  • Serve as the Administrative Office Manager for the Deputy Secretary of Prisons.

Requirements

  • Bachelor's degree from an accredited institution and three years of experience in personnel, budgeting, research, or administrative management; or an equivalent combination of education and experience.
  • Demonstrated knowledge of modern office procedures, practices, and equipment.
  • Working knowledge of public administration and business administration principles.
  • Skills to exercise judgment and discretion in various situations.
  • Ability to establish and maintain effective working relationships with associates, officials, or the public.

Nice-to-haves

  • BS Degree or higher in Business Administration, Office Sciences, or a similar area.
  • 10 or more years of office administration experience in a correctional setting.
