About the position

The Administrative Operations Coordinator for the New Student Transition Program plays a crucial role in planning and implementing orientation programs and other initiatives for first-year and transfer students. This position serves as a resource for students, families, and staff, overseeing various operational tasks, including social media management and budget maintenance. The role blends event planning, customer service, and operational leadership, directly impacting the new student experience.

Responsibilities

  • Serve as the first point of contact for visitors and communications to NSTP, managing office phones, email accounts, social media accounts, and walk-in traffic.
  • Plan and implement Fall and Spring Orientation programs in collaboration with NSTP's Assistant Director.
  • Co-manage the online New Student Checklist and registration with campus partners.
  • Lead and serve on orientation project teams, coordinating with campus partners for event planning.
  • Act as the primary liaison with IC's Conference and Events Services office for room reservations and event needs.
  • Support the hiring and training processes for Orientation Leaders and temporary staff.
  • Coordinate orientation fee waivers with Student Financial Services.
  • Develop and edit orientation materials for distribution.
  • Provide event planning support for NSTP events, including Family Weekend and Emerging Leaders Weekend.
  • Hire, train, schedule, and delegate tasks to student employees and temporary staff.
  • Manage NSTP's online presence, including social media and website content.
  • Monitor and manage NSTP budgets, including reconciling expenditures and preparing budget updates.
  • Oversee general office processes, including maintaining student records and coordinating meeting logistics.
  • Represent NSTP at Admissions and other events, serving on campus-wide committees.

Requirements

  • Associate's degree and at least one year of office and event planning experience.
  • Strong attention to detail and initiative in project management.
  • Ability to connect with college students from diverse backgrounds.
  • Dependable, hardworking, and flexible in times of change.
  • Clear communication skills and effective teamwork.

Nice-to-haves

  • Experience coordinating onboarding and/or orientation programs.
  • Proficiency in word processing, spreadsheet, database, and design applications.
  • Experience maintaining departmental budgets and expenditures.
