About the position

The Administrative Operations Coordinator at the University of Wisconsin-Madison's Department of Gender and Women's Studies plays a crucial role in supporting the department's daily operations. This part-time position involves providing administrative assistance to the Department Chair, managing operational projects for the Department Administrator, and maintaining process documentation. The ideal candidate will demonstrate initiative and judgment while working closely with faculty, staff, and students to further the department's mission of promoting social justice and addressing inequalities.

Responsibilities

  • Provides general administrative support to the Department Chair and Department Administrator.
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations.
  • Serves as a primary point of contact for individuals and groups, providing organizational information via various communication mediums.
  • Prepares and audits complex records, edits documents, and reviews work done by others.
  • Develops, sends, receives, copies, and distributes communications according to established policies and procedures.
  • Develops, implements, and maintains methods and organizational systems for electronic and physical records.

Requirements

  • A minimum of one year of experience providing administrative support to leadership, including virtual meeting management.
  • Experience managing the full life-cycle of work requests and task timelines.
  • Interpersonal communication skills in a customer/client service facing role.

Nice-to-haves

  • Strong time management and customer service skills to proactively problem solve and troubleshoot matters.
  • Experience supporting the operationalization of new strategies and processes.
  • Proficiency with Microsoft productivity software such as Excel, Word, and Outlook.
