About the position

Recycle Ann Arbor is searching for an Administrative and Operations Coordinator to join our growing team. Recycle Ann Arbor is a mission-driven Zero Waste organization whose mission is to develop and operate innovative reuse, recycling, and zero-waste programs that improve the environmental quality of our community. As a Mission Based Non-Profit Organization, our annual budget is $10M, almost entirely generated by earned income from Materials Recovery Facility (MRF) recycling processing services, Recycling Curbside Collection Services, Recycling Drop Off Services and Construction & Demolition (C&D) Recovery Services. We have approximately 60 employees. The Administrative and Operations Coordinator is a dual-purpose role requiring excellent administrative, relationship, MS Office, communication, and customer service skills. This position reports to the Division Manager and the Director of Operations. The role involves preparing reports for upper management regarding the status of business, including budgets, accounts payable, and accounts receivable, primarily using Excel and Oracle/NetSuite programs. The coordinator will also supervise and coordinate the activities of staff and volunteers, set deadlines, assign responsibilities, and monitor and summarize the progress of projects. In addition, the coordinator will plan, coordinate, and oversee inbound and outbound shipments of goods, materials, commodities, and interdepartmental services. They will assist management in operational and administrative functions at other divisions as assigned, help plan and carry out special projects or events, and perform cash drawer reconciliation and proper delivery of revenues to the office safe or banking institution. The role also includes internal accounting and data development, preparing, coding, and submitting accounts payable invoices for approval, and assisting with grant workplan implementation and reporting as applicable. The coordinator will work with vendors to maximize diversion from landfill, including LEED reporting, and collaboratively co-develop systems, policies, and procedures for all site operations/functions. They will conduct research, compile, analyze, and report on past, current, and future site operations, trends, and industry initiatives to support ongoing and future site operations and development. Recommendations on accounting, administration, and efficiency improvements will also be part of the role. Compliance with local, state, and federal site licenses, prevention plans, and other regulatory obligations is essential, as is participation in Safety Committee meetings and organizational safety initiatives. The coordinator will greet customers, answer a diverse range of questions regarding sales, operations, recycling options, and hours of operation, and assess incoming customer recyclable material loads to make sales at the Point of Sale.

Responsibilities

  • Conduct internal accounting and data development (KPIs, hauling hours, debits/credits, daily transactions, etc.).
  • Prepare, code, and submit accounts payable invoices for approval.
  • Assist with grant workplan implementation and reporting as applicable.
  • Work with vendors to maximize diversion from landfill, including LEED reporting.
  • Collaboratively co-develop systems, policies, and procedures for all site operations/functions; train and rotate staff through all operational onsite roles/functions.
  • Conduct research, compile, analyze, and report on past, current and future site operations, trends, and industry initiatives to support ongoing and future site operations and development.
  • Make recommendations to the Manager on accounting, administration, and efficiency improvements.
  • Ensure compliance with local, state and federal site licenses, prevention plans and other regulatory obligations (e.g., OSHA, DOT, MI Secretary of State, EGLE, Washtenaw County, etc.).
  • Participate in Safety Committee meetings and organizational safety initiatives; assist Manager in ensuring customer, employee and general site safety at all times.
  • Greet customers, by phone, voicemail, online, or in person; answer a diverse range of questions regarding sales, operations, recycling options and hours of operation.
  • Assess incoming customer recyclable material loads and make sales at the Point of Sale.

Requirements

  • Must have advanced expertise in Excel and functional ability to utilize software for reporting, KPI, and data analysis.
  • Multi-tasking individual with the ability to keep several processes efficiently and safely progressing toward facility/organizational goals.
  • Ability to build and maintain positive relationships with internal/external customers.
  • Exhibit excellent internal/external customer service skills under stress.
  • Ability to work within and contribute to a teamwork environment.
  • Ability to work extended daily hours, weekends and/or holidays.
  • Possess a high school diploma or GED; an associate's degree or advanced training in environmental science, recycling industry, business administration, or similar experience preferred.
  • Possess a valid Michigan Drivers License.
  • Obtain a State of Michigan EGLE Stormwater Operator License within 1 year of employment (employer paid).
