About the position

The Administrative Operations Manager (Business/Administrative Associate 2) at the University of Illinois Chicago is responsible for overseeing the day-to-day business operations of the Mile Square Health Center in Rockford. This role supports clinical operations, registration, and patient services, ensuring a smooth transition through all levels of patient care. The manager collaborates with various stakeholders to implement best practices in patient care, customer service, and training, while also working closely with the Finance Department to ensure accurate billing processes.

Responsibilities

  • Oversees program development and financial operations of the clinic.
  • Works with MSHC leadership and management team to lead, develop, and implement new programs.
  • Serves as a liaison to Mile Square Health Center Leadership, providing insight into the needs of the clinic and community.
  • Collaborates with Site Medical Director and Administrative Nurse III to assure best clinical practices and patient satisfaction.
  • Leads team efforts to assure continuity across the practice.
  • Acts as primary contact with vendors providing facility services.
  • Creates provider schedules to maximize patient access and satisfaction while remaining within budget guidelines.
  • Oversees community outreach activities and works with the marketing team on promotional opportunities.
  • Develops and oversees process improvements for billing of professional services.
  • Supervises medical records and coding staff to ensure accurate billing.
  • Provides orientation to new providers on service line policies and procedures.
  • Facilitates daily huddles to communicate relevant workflow and information to staff and providers.
  • Creates agendas, reports, and presentations for general meetings.
  • Provides training and guidance on discipline issues and performance appraisals of staff members.
  • Educates staff on UDS measures and engages them in Quality Improvement programs.
  • Ensures service excellence and performs service recovery as necessary.

Requirements

  • Bachelor's degree in business administration, management, or a related field.
  • Five years of professional business, financial, and/or managerial work experience.
  • A Master's Degree may substitute for one year of work experience.
  • Five years of professional level experience in a medical office setting.
