About the position

The Administrative Program Coordinator at Energy Infrastructure Partners (EIP) plays a crucial role in supporting the organization's mission by managing administrative operations and coordinating various programmatic elements. This position is essential for ensuring the smooth execution of energy efficiency programs and involves multitasking in a fast-paced environment to meet the needs of clients and the organization.

Responsibilities

  • Organize and coordinate key administrative programmatic elements.
  • Manage multiple projects, client-facing materials, deliverables, and priorities.
  • Provide administrative support for ongoing projects, including tracking progress and scheduling meetings.
  • Oversee the meeting cadence of internal and external meetings, including scheduling and preparing materials.
  • Maintain accurate records of data related to program activities and perform data entry and quality control.
  • Manage financial incentive fulfillment processes in cooperation with accounting staff.
  • Organize and maintain important documents, records, and files.
  • Coordinate and plan events such as trainings, workshops, and seminars.
  • Manage inbound and outbound phone calls and email correspondence.
  • Conduct research on various topics and prepare reports or summaries.

Requirements

  • Associates degree or higher in a relevant field such as business administration, finance, or environmental studies.
  • 3+ years of experience in administrative roles, preferably in a program coordination capacity.
  • Excellent written and verbal communication skills.
  • Strong organizational and project management skills.
  • Advanced skills in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • A genuine passion for sustainable practices, environmental justice, community engagement, and utility customer participation.

Nice-to-haves

  • Familiarity with the utility industry, commercial and industrial customers, and energy management programs.
  • Experience in organizing and executing events, workshops, or educational programs.
  • Familiarity with CRM platforms such as Salesforce or HubSpot.
  • Familiarity with Strategic Energy Management (SEM).
