About the position

The Administrative Program Coordinator IV at Cleveland Clinic's Lerner Research Institute provides high-quality administrative support to senior leaders within the Research department. This role involves managing calendars, organizing meetings, drafting presentations, and planning travel arrangements, requiring exceptional organizational and communication skills.

Responsibilities

  • Deliver high-quality administrative support to senior leaders.
  • Manage the calendars of multiple leaders.
  • Organize domestic and international meetings.
  • Draft presentations and develop agendas.
  • Plan itineraries and travel arrangements.
  • Assist the Director with projects and daily tasks.
  • Coordinate policy evaluation and implementation.
  • Identify operational improvement opportunities.
  • Develop communications and databases.
  • Lead or coordinate multiple complex projects or initiatives.
  • Update, monitor, and manage databases.
  • Develop scorecards and milestones to track progress.
  • Analyze project improvement and progress.
  • Report discrepancies and variances.
  • Act as a liaison with committees, caregivers, and vendors.
  • Facilitate project prioritization and implementation.
  • Assist with scheduling, coordination, preparation, and communication of meetings.
  • Attend meetings and record key outcomes.
  • Identify key milestones and deadlines.
  • Communicate project status and requirements.
  • Research, analyze, and organize information for presentations.
  • Develop interdepartmental education programs and assist with department orientation and training.

Requirements

  • Bachelor's degree in business administration, finance, communications, healthcare administration or a related field.
  • Five years of administrative, financial or project management experience.
  • Strong computer skills and experience with software applications.
  • Skills in multitasking, critical thinking, decisive judgment, independent work, interactive communication, and customer service.
  • A high school diploma and nine years of experience may substitute the education and experience requirements.
  • An associate's degree and seven years of experience may substitute the education and experience requirements.
  • A master's degree and four years of experience may substitute the experience requirement.
