About the position

Energy Infrastructure Partners (EIP) is actively seeking an Administrative Coordinator to support our mission by managing data collection, financial incentive fulfillment, tracking and reporting, coordinating meetings, trainings, special events, and the coordination of special projects. In this role, you will play a pivotal part in advancing our energy efficiency programs by ensuring smooth administrative operations. Responsibilities

  • Maintain the day-to-day operations of the office, including supplies, equipment, and facilities.
  • Coordinate schedules, arrange meetings, and manage logistics for client, trade ally, staff, and other meetings.
  • Schedule, coordinate, and prepare materials for meetings, take meeting minutes, and follow up on action items.
  • Maintain accurate records of data related to program activities.
  • Manage financial incentive fulfillment processes, ensuring timely and accurate disbursement in cooperation with accounting staff.
  • Perform data entry and quality control (QC) to ensure data accuracy.
  • Produce data files for reporting and analysis purposes.
  • Organize and maintain important documents, records, and files, ensuring they are easily accessible and well-organized.
  • Coordinate and plan events, such as trainings, workshops, and seminars, including logistics, content development, and attendee coordination.
  • Provide administrative support for ongoing projects, including tracking progress, scheduling meetings, and preparing project-related documents.
  • Answer and redirect phone calls, respond to general inquiries, and manage email correspondence.
  • Conduct research on various topics, compile information, and prepare reports or summaries.
  • Prepare and deliver reports based on research findings.

Requirements

  • Bachelor's degree in a relevant field such as business administration, finance, or environmental studies.
  • 3+ years of experience in administrative roles, preferably in a program management capacity.
  • Excellent written and verbal communication skills, with the ability to convey complex concepts in a clear and concise manner.
  • Strong organizational and project management skills to plan and execute administrative tasks efficiently.
  • Advanced skills in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • A genuine passion for sustainable practices, environmental justice, community engagement, utility customer participation, and trade ally collaboration.

Nice-to-haves

  • Familiarity with the utility industry, commercial and industrial customers, energy management programs, and/or trade ally dynamics.
  • Experience in organizing and executing events, workshops, or educational programs.
  • Familiarity with CRM software, such as Salesforce, HubSpot, or similar platforms.
