About the position

The Administrative Project Coordinator I will play a crucial role in supporting the Assistant Director of Institutional Success and Decision Support within the Office of Institutional Success and Decision Support (OISDS). This position is integral to the operational management of the unit, providing essential administrative support to the OISDS staff. The coordinator will be responsible for a variety of tasks that ensure the smooth functioning of the office, including coordinating travel arrangements, managing office supplies, and assisting with event support. The role requires a proactive approach to problem-solving and the ability to handle multiple tasks simultaneously while adapting to changing priorities and deadlines. The OISDS unit operates under the guidance of the Associate Vice President for Institutional Success and Decision Support (AVPISDS), who serves as the institutional liaison to the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC) and the Texas Higher Education Coordinating Board (THECB). The Administrative Project Coordinator I will report directly to the Assistant Director and will be expected to maintain a high level of confidentiality and professionalism in all interactions. Responsibilities

  • Assist the Assistant Director with operational management tasks.
  • Coordinate travel arrangements and reimbursements for staff.
  • Collect and prepare business expense reimbursements.
  • Maintain office supplies and organization of the office suite.
  • Submit Pearl tickets for building access, keys, and computer access.
  • Submit work orders to facilities management.
  • Schedule the Alpine Conference Room for meetings and events.
  • Collect and distribute mail within the office.
  • Maintain and document computer inventory for the unit.
  • Utilize procurement software to prepare, review, submit, and receive purchase orders.
  • Provide event support for various departmental activities.
  • Offer administrative support to the AVPISDS when the Assistant Director is unavailable.
  • Perform other duties as assigned.

Requirements

  • Bachelor's degree in a related discipline.
  • Three years of administrative experience, preferably in a project area.
  • Experience working within a higher education environment is preferred.
  • Excellent planning and organizational skills with the ability to manage multiple tasks and adapt to changing priorities.
  • Strong attention to detail in communications and work documents.
  • Ability to demonstrate self-initiative and work well as part of a team.
  • Demonstrated tact and diplomacy, maintaining a high level of confidentiality.
  • Intermediate or advanced proficiency in Microsoft Office 365 and Teams.
