About the position

The Military Science Department at UT Dallas is seeking a dedicated individual to coordinate and oversee various business and administrative matters related to the Army ROTC program. In this role, the individual will be responsible for providing exceptional customer service, answering phones and emails, and offering general program information to students and visitors. The candidate will need to develop and maintain good working relationships within the department and with external stakeholders. Advanced skills in Microsoft Office and knowledge of accounting and budgeting procedures are crucial for success in this position. The candidate will also be tasked with collecting and coordinating academic information for cadets and students, preparing class schedules, managing office supplies, and arranging access to classrooms and offices. Additionally, the position involves recruitment and admissions responsibilities, including coordinating scheduling and communications for information sessions, managing communications with prospective students, and maintaining records related to recruitment and admissions. The candidate will oversee the online application process for Military Sciences and participate in recruitment events and activities. Evening and weekend hours, as well as travel, may be required for this position.

Responsibilities

  • Coordinate and oversee business and administrative matters of the Military Science Department and Army ROTC program.
  • Assist with financial planning and management.
  • Manage human resource planning and facilities management.
  • Ensure compliance with environmental health and safety regulations.
  • Coordinate special events for the department.
  • Provide exceptional customer service and general program information to students and visitors.
  • Develop and maintain good working relationships within the department.
  • Collect and coordinate cadet/student academic information.
  • Prepare and edit class schedules and assign instructors.
  • Manage and purchase office supplies and arrange access to classrooms and offices.
  • Plan all Military Science events, reserve space, and arrange catering.
  • Coordinate annual space surveys, key, and inventory audits.
  • Coordinate scheduling and communications for recruitment information sessions and outreach.
  • Manage communications with prospective students and maintain recruitment records.
  • Oversee the online application process for Military Sciences and address candidate inquiries.
  • Participate in recruitment events and activities.

Requirements

  • Bachelor's degree in a related discipline.
  • Three years of administrative experience or experience related to the project area, or any equivalent combination of education and experience.
  • Advanced Microsoft Office skills.
  • Knowledge of accounting and budgeting procedures.

Nice-to-haves

  • Previous military experience preferred.
  • Three years of highly responsible and varied office administration or business management experience.
