Responsibilities

  • Provide secretarial and administrative support in the assigned area.
  • Screen phone calls, schedule appointments, and maintain an appointment calendar for the supervisor.
  • Arrange meetings and conferences, including notifying participants and preparing necessary materials.
  • Make travel and hotel arrangements as needed.
  • Act as a liaison with other departments and agencies to maintain a reliable flow of information.
  • Answer inquiries and respond to complaints from clients and the public.
  • Screen incoming mail and route it appropriately, as well as type and format various documents.
  • Maintain and update departmental records and statistics, and recommend new forms or procedures as necessary.
  • Assist in budget maintenance and payroll duties, including preparing budget data and monitoring expenditures.
  • Analyze administrative policies and procedures to make recommendations for improvements.

Requirements

  • High school diploma or equivalent.
  • Six years of clerical experience, including two years of secretarial or equivalent experience.
  • An Associate's degree may substitute for two years of the required experience; a Bachelor's degree may substitute for four years.

Nice-to-haves

  • Experience in a government or public administration setting.
  • Familiarity with the Minnesota Government Data Practices Act.
