About the position

The Administrative Secretary position at the Department of Education is responsible for performing a variety of complex technical secretarial duties within the Division of Vocational Rehabilitation. The role involves assisting the unit in organizing, coordinating, and establishing priorities for daily office activities. The employee must be productive under tight timeframes, balance multiple and competing priorities, and maintain goal-directed behavior and performance under stressful conditions. Attendance is an essential function of this position, and the employee is expected to interact courteously with others while demonstrating consideration for the workload concerns of others.

Responsibilities

  • Assist the VR Supervisor with tracking and monitoring Unit attendance and leave.
  • Organize, coordinate, and prioritize unit activities.
  • Prepare confidential personnel actions.
  • Receive, track, and submit monthly reports as assigned.
  • Process and track monthly travel and submit to Area Office.
  • Conduct inventory and order supplies for the unit.
  • Prepare and sign routine correspondence.
  • Answer phones and file documents.
  • Review closed files to ensure proper file order.
  • Track transferred cases.
  • Review, audit, and process authorizations for payment or cancellation.
  • Work directly with customers to obtain and verify referral information.
  • Verify customers' employment status.
  • Schedule and notify customers of appointments.
  • Mentor support staff and conduct training as requested.
  • Participate in teams or committees as assigned.

Requirements

  • Three years of secretarial or clerical work experience.
  • Possession of a Certified Professional Secretary Certificate.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience.
  • Vocational/technical training in secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
  • A high school diploma or its equivalent can substitute for one year of the required work experience.
