About the position

The Administrative Secretary I position is a temporary opportunity that involves performing a variety of secretarial and administrative support duties. This role is essential in ensuring the smooth operation of the office by handling tasks such as reception duties, transcription of documents, maintenance of document filing and retrieval systems, and basic recordkeeping. The position requires a working knowledge of modern secretarial practices and the ability to efficiently use both standard and specialized office equipment. In this role, the Administrative Secretary I will exercise some judgment in routine administrative matters, prepare correspondence, and communicate with staff and customers. The assignments will vary depending on the area of assignment, and the individual will be expected to develop and maintain a working knowledge of special terminology related to the function to which they are assigned. The position is characterized by a need for independent judgment and the ability to manage multiple tasks effectively. The essential duties include screening incoming calls, mail, and visitors, typing various materials from rough drafts or verbal instructions, scheduling appointments, arranging meetings, maintaining filing systems, and performing limited recordkeeping tasks. The role also involves operating standard office machines and equipment, such as personal computers, printers, and copiers. Overall, the Administrative Secretary I plays a crucial role in supporting the department's functions and ensuring efficient office operations.

Responsibilities

  • Perform secretarial and clerical duties involving the use of independent judgment and understanding of departmental functions and procedures.
  • Develop and maintain a working knowledge of special terminology related to the assigned function.
  • Screen incoming calls, mail, and visitors, evaluating their importance and resolving routine matters or referring them to others.
  • Type a variety of materials such as letters, memoranda, reports, and statistical data from rough drafts or verbal instructions.
  • Compose correspondence and forms as necessary.
  • Initiate and answer telephone calls, schedule appointments, and provide general information regarding program policies and procedures.
  • Arrange meetings, prepare schedules, and confirm dates and times with participants.
  • Index and file correspondence, reports, and other materials according to predetermined breakdowns, maintaining the filing system.
  • Perform limited recordkeeping for the department by preparing and processing invoices, requisitions, expense claims, and vouchers.
  • Operate standard office machines and equipment including personal computers, typewriters, printers, copiers, calculators, and fax machines.

Requirements

  • High School diploma or equivalent required.
  • Minimum of 2 years of progressively responsible secretarial or clerical experience, preferably in a school setting.
  • Working knowledge of modern secretarial and general office clerical principles, practices, and methods.
  • Basic knowledge of special practices, technicalities, and work methods for the department of assignment.
  • Working knowledge of English grammar and composition, business and/or legal formats, spelling, arithmetic, filing, and recordkeeping.
  • Sufficient human relations skills to communicate standard yet sometimes sensitive information and maintain harmony in a work setting.

Nice-to-haves

  • Proficiency in Spanish is preferred.
  • Experience in a school setting is a plus.
