Requirements

  • Thorough knowledge of responsible secretarial duties and office management practices.
  • Thorough knowledge of office terminology, good English usage, and letter writing style.
  • Thorough knowledge of the organizational structure, programs, policies, and functions of the Prince George's County School System.
  • Ability to exercise good judgment in applying a wide range of operating procedures and policies.
  • Ability to carry out administrative work and pass a pre-employment exam.
  • Ability to take and transcribe dictation at a high rate of speed.
  • Ability to follow complex oral and written directions.
  • Ability to meet top-level officials with tact and diplomacy and establish good working relationships.
  • Demonstrated ability to maintain complex clerical records and prepare reports from such records.
  • Ability to work under pressure and make decisions in accordance with laws and established procedures.

Responsibilities

  • Receive telephone and personal callers, screening those that can be handled by other offices and referring them appropriately.
  • Act as an intermediary for the superior in contacts with school and central office personnel, parents, and other agencies.
  • Explain and interpret administrative decisions and policies to others, answering inquiries and resolving problems.
  • Maintain the superior's calendar and schedule appointments and conferences without prior clearance.
  • Make arrangements for conferences, including space, time, and assembling background material.
  • Read and screen incoming correspondence, forwarding necessary items to the superior with background materials.
  • Prepare memoranda and correspondence for review and signature of the superior.
  • Maintain control records on incoming correspondence and action documents, following up on work in process.
  • Read outgoing correspondence for accuracy and consult with superiors on policy and factual correctness.
  • Assign, supervise, and coordinate the work of subordinate employees, developing office forms and procedures.
