About the position

The Administrative Service Assistant at Software Technology Inc. plays a crucial role in ensuring the smooth operation of administrative functions within the organization. This position is primarily responsible for managing communication through a multi-line phone system, providing essential customer service, and facilitating the flow of information within the office. The assistant will be tasked with answering calls, screening and directing them appropriately, and ensuring that all inquiries are handled efficiently and professionally. Additionally, the role involves distributing faxes and mail, maintaining shared inboxes, and managing various administrative tasks that support the overall functioning of the office. In this position, the Administrative Service Assistant will also be responsible for maintaining the 7th-floor conference room, which includes tidying up at the end of the day, assisting with audio-visual equipment as needed, and managing the scheduling of meetings. This includes approving or rescheduling meetings and assisting with the scheduling of other conference rooms as required. The assistant will also be responsible for drafting and sending all staff emails, tracking and following up on maintenance and IT-related requests, and preparing meeting minutes for managers' meetings. Furthermore, the role includes the preparation of newsletters, which requires attention to detail and effective communication skills. Overall, the Administrative Service Assistant is expected to be proactive, organized, and capable of multitasking in a fast-paced environment, ensuring that all administrative functions are carried out effectively to support the team and the organization as a whole.

Responsibilities

  • Answering a multi-line phone and screening calls
  • Providing basic customer service to callers
  • Distributing faxes and mail
  • Maintaining shared inboxes
  • Printing, filing, and distributing CDC reports
  • Drafting, requesting approval for, and sending all staff emails
  • Keying, tracking, and following up on maintenance requests
  • Keying, tracking, and following up on IT-related requests
  • Maintaining the 7th floor conference room, including tidying up and assisting with AV as needed
  • Approving or rescheduling meetings as necessary
  • Assisting with conference room scheduling for other conference rooms
  • Taking minutes for managers' meetings
  • Preparing newsletters

Requirements

  • Bachelor's degree from an accredited college or university
  • At least one year of qualifying full-time increasingly responsible sub-professional experience or paraprofessional or professional experience
  • Experience may substitute education on a year-for-year basis
