About the position

The Administrative Specialist 1 position at Clackamas County's Department of Transportation and Development is a full-time role focused on providing essential administrative support across multiple programs. The role involves developing processes for employee onboarding and offboarding, managing procurement coordination, and handling complex scheduling for training sessions and meetings. The ideal candidate will possess strong organizational skills, effective communication abilities, and a proactive approach to managing tasks in a dynamic environment.

Responsibilities

  • Developing processes and procedures for efficient onboarding and offboarding of employees.
  • Handling procurement coordination and assisting with accounts payable and receivable.
  • Collecting data and managing complex scheduling for training sessions and meetings.
  • Preparing and reviewing essential forms, including payment request forms and accounts payable stamps.
  • Managing department procurement spreadsheet and coordinating discussions with program managers.
  • Scheduling and organizing budget reviews, committee meetings, and department-wide training.

Requirements

  • A minimum of one (1) year of relevant experience in administrative support.
  • Experience providing customer service in a positive and timely manner, both in person and over the phone.
  • Experience preparing and processing payments, invoices, claims, and/or vouchers for accuracy.
  • Experience in employee onboarding, offboarding, and HR administration.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, SharePoint) and Adobe Acrobat.

Nice-to-haves

  • Experience in developing and implementing efficient processes to manage multiple requests.
  • Experience working collaboratively with various departments to develop standard operating procedures.
  • Advanced proficiency in Microsoft Office Suite and Adobe Acrobat, including mail merge and creating pivot tables.
