About the position

The Administrative Specialist II position at Dana-Farber Cancer Institute is a full-time role that provides essential administrative support to the Department of Supportive Oncology, specifically within the Division of Adult Palliative Care. This role involves assisting staff, faculty, and department managers in their clinical, academic, research, and leadership functions, contributing to the institute's mission of improving the quality of life for cancer patients and their families. The position requires a blend of administrative skills, customer service, and the ability to manage various office tasks in a hybrid work environment.

Responsibilities

  • Provide administrative support for Directors, department managers, clinicians, and/or faculty.
  • Perform administrative duties including answering phones, maintaining office supplies, and managing resource calendars.
  • Manage meeting planning and schedules for individuals and teams within the assigned department group.
  • Liaise between patients and clinical staff to provide scheduling support.
  • Draft communications for department members for review.
  • Responsible for data entry and maintaining communication with internal and external teams.
  • Serve as onsite representative for external groups, visitors, or collaborators.
  • Prepare general correspondence, letters of recommendation, and Excel spreadsheets.
  • Handle financial responsibilities including P-Card charge review, expense report processing, and vendor payments.
  • Coordinate travel arrangements for department staff.
  • Identify and escalate areas of need regarding workflows to supervisors.
  • Participate in training and onboarding new staff.

Requirements

  • High school diploma required; Bachelor's degree preferred.
  • 3 years of relevant experience in an administrative role.
  • Proficient knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, and Adobe.
  • Strong written and oral communication skills.
  • Exceptional customer service skills and professionalism.

Nice-to-haves

  • Experience in a healthcare or clinical setting.
