About the position

The Administrative Specialist/HR Assistant at Corrective Asphalt Materials, LLC plays a vital role in supporting the office administration and management team. This position is essential for ensuring the smooth operation of daily activities, handling various administrative tasks, and contributing to the overall efficiency of the organization. The ideal candidate will be organized, detail-oriented, and eager to learn and grow within the company.

Responsibilities

  • Assist with administrative tasks related to payroll, benefits, new hires, data entry, tracking, and more.
  • Assist with payroll processing and benefits administration.
  • Assist with onboarding and offboarding processes.
  • Assist in the recruitment process, including posting job ads, scheduling interviews, and conducting background checks.
  • Collect and track receipts for all company credit card charges.
  • Maintain employee records and ensure data accuracy in HR systems.
  • Answer and manage phone calls, directing them to the appropriate personnel.
  • Perform general cleaning and maintenance tasks to ensure a tidy office environment.
  • Order and manage office supplies, maintaining inventory levels.
  • Manage and maintain the office alarm system.
  • Oversee the office phone system and coordinate cell phone plans and devices.
  • Aid in the licensing and registration of vehicles and fleet management as well as collect and track daily/weekly mileage logs.
  • Handle record retention, ensuring documents are properly filed and stored, including files for DOT audits and labor audits.
  • Support the Management team with additional duties as needed.

Requirements

  • High school diploma or equivalent.
  • Proven experience in an administrative or office support role.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using office equipment and basic computer applications.
  • Ability to manage time effectively and prioritize tasks.
  • Attention to detail and problem-solving skills.

Nice-to-haves

  • Experience with fleet management and record retention is a plus.
  • Experience with QuickBooks is a plus.
