About the position

The Administrative Specialist in the Human Resources Department is responsible for providing administrative support and customer service to facilitate the office's mission. This role involves assisting with employee recruitment, maintaining personnel records, and responding to inquiries from employees and the public. The ideal candidate should possess strong communication and technology skills, be detail-oriented, and thrive in a dynamic environment.

Responsibilities

  • Assists with recruitment process by utilizing the electronic recruitment and selection system and preparing job vacancy advertisements.
  • Performs customer service and reception duties by interacting with applicants and the public to assist with a broad range of requests for information.
  • Utilizes electronic recruitment software to process closed job postings and create online interview schedules.
  • Schedules, administers, evaluates, and processes pre-employment applicant testing and reports test results.
  • Initiates and tracks candidate background checks and pre-employment testing.
  • Assists with the employee onboarding and offboarding process, including maintaining the database for tracking vacant positions.
  • Processes and tracks onboarding tasks and forms to ensure compliance and maintains personnel records in the electronic filing system.
  • Assists with HR administrative tasks including processing mail, benefit administrative support, and record keeping.
  • Coordinates and organizes the Employee Recognition Awards Program.
  • Orders and maintains inventory of office supplies.
  • Provides administrative support for employee-related functions, job fairs, and community engagement activities.
  • Completes verbal employment verifications.
  • Coordinates fingerprinting process for required staff ensuring adherence to State of MN policy and procedures.
  • Reserves meeting rooms and prepares work orders.
  • Attends training and meetings to maintain knowledge of policy, software and process changes.
  • Performs other duties as assigned.

Requirements

  • High School graduate or equivalent.
  • One year of post-secondary education and two years of progressively related experience OR four years of progressively related experience.
  • Experience using Microsoft Office Suite.
