About the position

The Administrative Specialist II in Human Resources is responsible for the overall day-to-day office administration of the Human Resources Department. This role involves specialized administrative work, including developing reports to monitor contracts, budgets, and expenditures, and acting as a liaison to various committees. The position provides support to the Executive Director of Human Resources and other HR staff, ensuring efficient operations within the department.

Responsibilities

  • Oversee day-to-day office operations of the Human Resources Department.
  • Support the Executive Director, Chief of Staff, and HR personnel with administrative activities using various automated systems.
  • Greet visitors to the HR Department and provide guidance and support as appropriate.
  • Meet with stakeholders to assess issues and refer them to the appropriate staff for resolution.
  • Prepare a variety of written materials including reports, memos, and financial information.
  • Provide telephone and email support for inquiries from internal and external parties.
  • Manage on-site emergencies within the HR Department as they arise.
  • Help develop operating budgets and associated spreadsheets for managerial decision making.
  • Monitor and reconcile various finance and budget reports.
  • Process documents in compliance with program, district, state, and federal requirements.
  • Develop specialized reports and represent the HR Department on various committees.
  • Oversee contracts, grants, and procurements to ensure compliance with requirements.
  • Coordinate schedules, meetings, travel, and activities for the Executive Director and HR tasks.
  • Create and maintain confidential and non-confidential files and records.
  • Manage office staff time and leave usage, overseeing payroll activities.
  • Help manage travel reimbursements and ordering of materials and supplies.
  • Research HR best practices and current policies to provide information for administrative requirements.
  • Respond to inquiries from key personnel to facilitate communication and resolve issues.
  • Manage requests for temporary staff services and coordinate with staffing agencies.

Requirements

  • High school diploma or equivalent required; Associate's Degree preferred.
  • One year of specialized administrative work in support of a high-level official.

Benefits

  • Full-time position with a salary range of $54,988.80 - $67,641.60 per year.
  • Work schedule from Monday to Friday, 8:00 am to 5:00 pm.
