About the position

Texas Mutual is seeking an experienced administrative specialist to join our Network & Medical Operations team. This role is crucial in providing administrative support to divisional leadership, ensuring quality care for injured employees, and facilitating their recovery journey. The specialist will coordinate project workflows, manage meetings and events, and assist in various administrative tasks, all while fostering strong relationships and effective communication.

Responsibilities

  • Coordinate project workflow by tracking reminders and activities for department staff, medical directors, and external customers.
  • Help schedule, plan, and host activities, such as meetings, travel, and events.
  • Draft, review, publish and/or communicate general information to staff verbally and in writing.
  • Answer phones, take messages, redirect, or resolve routine inquiries.
  • Assist with compiling data into multiple formats, including spreadsheets, charts, graphs, and presentations as directed by staff and management.
  • Support planning and budgeting efforts by ensuring invoices are accurate and match anticipated expenses, entering into budget software, and reviewing for variances.
  • Develop and edit presentations and reports to ensure quality, consistency, and compliance with brand standards.
  • Work closely with other administrative assistants on events, backup support, and streamlining processes.

Requirements

  • High school diploma or equivalent.
  • At least two years of administrative support experience or equivalent education, training, or experience.
  • Familiarity with medical terminology.
